Welcome to Booth Genius. We are committed to protecting the privacy of our users (Photo Booth Operators or "Subscribers") and their clients or event guests ("End Users").
This Privacy Policy explains how Booth Genius ("we," "our," or "us") collects, uses, discloses, and safeguards your information when you use our Customer Relationship Management (CRM) platform, website, and related services.
1. Information We Collect
We collect information in two primary ways: information you provide directly to us, and information automatically collected when using our platform.
A. Information Provided by Subscribers (You)
• Account Information: Name, business name, email address, phone number, billing address, and account credentials.
• Payment Data: Credit card information or other financial details. All payments are securely processed through our third-party payment processor, Stripe, and we do not store raw credit card details on our servers.
• Subscriber Content & Client Data: Any data you upload into the CRM to manage your business. This includes your clients' names, event dates, event locations, contract details, pricing, and communication histories.
B. Information Collected via Lead Capture and Platform Features
If you use Booth Genius's built-in lead capture embed forms or gallery features, the platform may process:
• Event Attendee / Guest Data: Names, email addresses, or phone numbers submitted by guests via your lead capture forms to receive photos or communications from your business.
• Media Assets: Photos, GIFs, or videos uploaded or synced to your event galleries. All media files are stored natively on Booth Genius's gallery infrastructure and are not transmitted to or stored by any external gallery provider.
C. Automatically Collected Information
• Usage Logs: IP addresses, browser types, device information, operating systems, and pages visited within the CRM to monitor platform health and performance.
• Cookies and Tracking: We use standard cookies to keep you logged in, remember your preferences, and analyze platform traffic.
2. How We Use Your Information
We use the collected data for the following operational purposes:
• To Provide the Service: Maintaining your account, processing payments, delivering automated event reminders and transactional emails to your clients, and ensuring the CRM functions correctly.
• Customer Support: Responding to your inquiries, troubleshooting bugs, and improving platform usability.
• Communications: Sending system updates, security alerts, administrative messages, and occasional marketing materials (which you can opt out of at any time).
• Security & Compliance: Preventing fraud, protecting our platform from malicious activity, and enforcing our Terms of Service.
3. How Data is Shared and Disclosed
We do not sell, rent, or trade your personal data or your clients' data to third parties. We only share information in the following limited circumstances:
Third-Party Service Providers: We use trusted vendors to help run our infrastructure. These providers only have access to the data necessary to perform their specific tasks, and include providers in the following categories:
• Cloud application hosting and serverless infrastructure
• Managed database hosting
• File and media storage
• Payment processing: All payments are handled by Stripe. Stripe's privacy policy is available at stripe.com/privacy.
• Transactional email delivery
• Background job processing and automation scheduling

Legal Requirements: We may disclose information if required to do so by law, subpoena, or if we believe such action is necessary to comply with legal obligations or protect the rights and safety of Booth Genius, our users, or others.
Business Transfers: If Booth Genius undergoes a merger, acquisition, or sale of assets, your data may be transferred to the acquiring entity as a business asset.
4. Data Ownership and Your Role as a Data Controller
Subscribers as Data Controllers: When you upload your clients' and event guests' information into Booth Genius, you act as the Data Controller, and Booth Genius acts as the Data Processor. You are responsible for ensuring you have the proper consent from your clients and guests to collect and store their data.
Data Retention: We retain your account data for as long as your account is active. If you cancel your subscription, your data will be queued for deletion or anonymization from our active databases in accordance with our data retention schedule (typically 30 days after account closure).
5. Security of Your Data
We implement industry-standard technical and organizational security measures to protect your data, including:
• Encryption: Data is encrypted in transit using SSL/TLS protocols and at rest on our secure servers and storage infrastructure.
• Access Controls: Restricted access to database environments, ensuring only authorized personnel can handle system infrastructure.
While we use commercial-grade safeguards, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
6. Your Privacy Rights (GDPR / CCPA Compliance)
Depending on your location (and your clients' locations), you may have specific rights regarding personal data:
• Access & Portability: Request a copy of the personal data we hold about you.
• Correction & Deletion: Request that we correct inaccurate data or completely delete your personal information ("Right to be Forgotten").
• Opt-Out: Object to the processing of your data for marketing purposes.
To exercise any of these rights, please contact us at the email listed below. If your clients or event guests contact us directly requesting data deletion, we will forward those requests to you (the Subscriber) to handle, as you control that data.
7. Children's Privacy
Booth Genius is a business-to-business platform and is not intended for use by individuals under the age of 13. While photo booths are frequently used by children at family events, our platform only processes guest data (such as email addresses) as directed by the operator. We do not knowingly market to or directly collect information from children under 13.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our platform features or evolving legal standards. We will notify you of any material changes by posting the new policy on this page and updating the "Effective Date" at the top. We encourage you to review this policy periodically.
